A Custom Coaching CRM Built with Claude + Lovable

The problem

Amanda runs a high-ticket one-on-one Australian English pronunciation coaching program (now $4K) plus a six-month program, and had never used a CRM. Leads filled out a waitlist form on her Squarespace site, landed in a Google Sheet, and she manually color-coded every row for eligibility, contact status, and "maybes." Everything — qualifying, follow-ups, check-ins, agreements — was tracked by hand.

The AI solution

Amanda dictated her entire waitlist process into Claude and asked it to "ask me all the questions you need" and turn the answers into an instruction guide for Lovable. Claude recommended building in four parts (she did it in one go), and Lovable generated the app — including the database and login system, so she didn't have to wire up a backend herself. The waitlist form still feeds the Google Sheet, but the sheet now talks to the CRM and new leads appear in her pipeline automatically. An "Assess fit" button sends the form answers to ChatGPT, which qualifies the lead in the background and turns strong fits green — replicating her old spreadsheet colors.

From one lead screen she runs everything: one-click copy of WhatsApp templates (welcome message within 24 hours, 21-day check-in), and clicking "WhatsApp sent" auto-moves the lead to the next pipeline stage. Each action spawns a follow-up task after X days, and every morning at 8:00 she gets an email listing the day's due tasks. Stripe payments flow in via webhooks through ApiX-Drive: when a paid consultation payment lands, the lead auto-moves to "call booked"; different webhooks fire per product. A button sends her student agreement through BreezeDoc, moving the lead to "agreement sent," and an email-open tracker notifies her when leads open messages so she can chase ghosts.

She also built a phone-friendly warm-leads screen (via a home-screen shortcut) with copy-paste templates for Instagram/TikTok/Facebook inquiries, which her VA uses under a restricted team account — account creation is blocked, new users need her approval, and access is scoped per area. Whenever she wants a new feature, she just tells Lovable what to change.

Results

Total ongoing cost is just the Lovable subscription (~$25/month) — no Zapier or other monthly fees thanks to one-time-purchase tools. Running since about March; only about two sync failures in a couple of months, both fixed by asking Lovable to troubleshoot. Her VA now handles TikTok leads through it via an SOP, and pipeline stages, tasks, and payment detection all update automatically.

How to copy it

  1. Dictate your existing manual sales process into Claude and ask it to interview you, then produce a build-instruction guide for Lovable.
  2. Paste the guide into Lovable (in parts, to conserve credits) and let it build the app, database, and login.
  3. Connect your intake form's Google Sheet to the CRM, and add an AI "assess fit" step using your qualification criteria.
  4. Use a one-time-payment connector like ApiX-Drive to wire Stripe payment webhooks to pipeline-stage moves, one webhook per product.
  5. Add message templates, auto-created follow-up tasks with a daily 8am task email, and restricted team-member accounts for your VA.
